3 Explanation for some privileges in IMX

Here we lists maximum length of some fields in different modules,

Explanations

My Department Only

If only it’s ticked, it means only the records of my departments and the records that involve the current user will be listed.

For Audit module, the follow audits will be listed,

The audits created by users of the current user’s department

The audits whose auditee values are specified as the users’ department

The audits that the current user is involved, which means the current users is the auditor, lead auditor, accepted by or closed by

For Action module, the following findings/Investigations will be listed,

The findings created by users specified in fields ‘Raised By’, and ‘Process Owner’, which have the same department with the current user.

The findings whose “against” values are specified as the users’ department

The findings that the current user is involved, which means the current users specified as the ‘Closed By’, ‘Owner’, and ‘Completed By’.

For Report module, the following reports will be listed,

The reports whose owner is specified the same department (in customize report page) with that of the current user.

The reports that the current user is involved, which means the current users specified as the ‘Reported By’, ‘Assessed By’, ‘Owner’ and ‘Completed B ’.

For Documentation module,

If the current user has the same department with documents, the attachments can be downloaded.

Or else, the attachments cannot be downloaded. And the document cannot be edited, or deleted even though the current user  has privileges to update or delete documents.

For Supplier module,

If the current user has the same department with  suppliers, the suppliers can be edited or deleted if the current user has the corresponding privileges.

Or else, the suppliers cannot be edited, or deleted even though the current user has privileges to update or delete suppliers.

My Records Only

If only it’s ticked, it means only the records that involve the current user will be listed.

For Audit module, the audits with the current users who create the audit, and who is the auditor, lead auditor, accepted by or closed by will be listed.

For Action module, the findings with the current user who is specified as the ‘Raised By’, ‘Process Owner’, ‘Closed By’, ‘Owner’, and ‘Completed By’ will be listed.

For Report module, the reports with the current user who is specified as the ‘Reported By’, ‘Assessed By’, ‘Owner’ and ‘Completed By’ will be listed.

Close Action

This privilege is located under “ACTIONS/View Finding”.

Tse privilege has two children.

Any name

If this privilege is ticked,the person specified in “Completed By” can close the actions with any user in IMX system.

My name  only

If this privilege is ticked,the person specified in “Completed By” can close the actions only with their own name in IMX system.

 

NOTE: If both of them are ticked, IMX works the same as only ‘Any Name’ is ticked.

View Confidential Reports

This privilege is located under “Report/List View”.

If this privilege is ticked, users can

View the confidential reports created by themselves

View the accepted and closed confidential reports created by other users if “Classification” privilege is not assigned.

View the new, accepted and closed confidential reports created by other users if “Classification” privilege is assigned.

View the persons who submit the reports in “Search Event Log”

If this privilege is not ticked, users can

View the confidential reports created by themselves

View the confidential reports created by other users and the current user is involved. These reports are listed, but not accessible, which means that users cannot open them by links and view the report details. These reports will be listed in “List View”, merge pop windows, and “Export Data” pages.

De-identify mode

This privilege is located under “Report/View Report”.

If this privilege is ticked, all names in “General” sub-form in all reports will be replaced with “*****” in “View Report” and PDF documents exported, in regardless of other settings in the report.
